Your privacy is important to the Space Data Association Ltd.

The protection, confidentiality and integrity of your personal data is one of our primary concerns.

This privacy notice explains what information we collect from you and how we use this information.

In summary, we will only use your personal data to administer your account(s), provide the products and services you have requested from us, and/or to keep you informed about the products and services we offer. We will use your organization’s data in accordance with the specific terms of the applicable agreement(s) we have executed.

Our Services

Organizations who have signed agreements with us (Members) receive secure, reliable and immediate access to accurate information and analysis that greatly improves operations for conjunction assessment, RF interference and geo-location support and authoritative contact information for a given space object.  Members can be assured of following industry best practices for the mitigation of operational risks, while at the same time, reducing their workloads by automatically passing data to the SDA.  The Space Data Centre (SDC), is operated by a trusted third party service provider, whose sole task is to assess the status of the space environment in which a member’s key assets are operating.

What personal data we collect from you

We need certain information to be able to provide the services you request from us and to keep you informed of updates and news pertaining to these services.

Members of the SDA and users of the SDC are contractually obliged to provide such information, including personal data, as is necessary for us to provide the services we offer. Personal data includes names, e-mail addresses, company or entity affiliation, and other contact information such as telephone and facsimile numbers.

SDA generally does not collect information from non-Members, other than domain names and pages viewed, when you visit our public web site at space-data.org. We use this information to measure use and improve our site. Occasionally we ask you to use our web site to provide contact information (e.g., name, address, email address, etc.) so that we can respond to your specific enquiries, keep you informed of SDA developments, and solicit your opinions.

How do we use your personal data?

We only use your personal data for the purposes for which it was collected and, where relevant to meet legal obligations.  We use your personal data for the following purposes:

Newsletter: Your personal data can be viewed by authorised people at the Space Data Association and third-party suppliers who help us to maintain the website and send regular email updates to our mailing list, including Members and non-Members. These updates are intended to keep you informed about our recent developments and upcoming events.

SDA Services: Additional member-specific data is used in the provision of the Association Data, in the provision of the Services, and as otherwise permitted under our Terms and Conditions, which you or your organisation has previously signed; this may include “personal data” such as your organizational e-mail address, contact information, name, organizational address, and job title.

Legal obligations. We may process your information in relation to a legal obligation. This includes cases where we must comply with requests from relevant legal authorities, administrative obligations, and in cases involving legal disputes.

Maintenance, development and incident management. If you experience issues with the products or services we sell, we may need to process some of your personal data, in order to resolve the issue. We may also use your personal data in relation to certain system development processes, for instance if we move your organization’s data to a new database.

General business process execution, internal management and management reporting. To be able to run our business, we also use your personal data for general business processes. This includes processing your personal data for archiving, account management and other administration related purposes, management reporting or processing in relation to audits.

With whom do we share your data?

We share your personal data with Analytical Graphics Inc. based in Exton, Pennsylvania, United States who are our current nominated service provider for SDA services.

We may pass on your personal data if we have a legal obligation to do so or if explicitly agreed with you or your organization (e.g., in the case of a conjunction alert or similar).

We will not share your personal data with any other organisations for marketing, market research or commercial purposes, and we do not pass on your personal data to other websites. We do not rent or sell your personal data to anyone.

Where is your personal data processed? 

Your personal data is mainly processed by the SDA in the United States and Europe, including by our web site hosting provider (Provo, Utah, United States), and in secure data centres operated by Amazon Web Services (Reston, Virginia, USA and in one of more Member States of the European Union).

Your personal data needed for e-mail communications is stored in our third-party mailing service provider (MailChimp, in the United States) as well as in a secure database with access controls in the United Kingdom.

Detailed and member-specific data is stored within the Space Data Centre (SDC) and is only viewable to those operating the SDC, including any third-party suppliers tasked with aiding its effective operation.

How long do we keep your personal data?

We will retain your personal only for as long as is necessary for the purposes for which the information was collected, or as long as is required pursuant to law.

Personal data may be retained longer in cases where it is used in relation to a legal claim or is used in relation to a valid legal process.

If you’ve signed up for email alerts and/or newsletters, you can unsubscribe or change your settings at any time by selecting the ‘unsubscribe’ link that appears in every email.

Lawful basis for personal data processing

We only collect and process your personal data when there is a lawful basis to do so. The lawful basis we rely on in this respect includes:

  • Contract: the processing is necessary to perform your contract;
  • Legitimate interest: for example, i) a legitimate commercial interest to process certain of your data, e.g. for running our business and the purposes of certain forms of marketing ii) to archive certain account information to facilitate your working with us in the future; or iii) if there is a legitimate interest from business or security perspective, e.g. to prevent fraud or abuse of our services, or for purpose of network and information security of our IT systems
  • Legal obligation: the processing necessary to comply with a legal obligation, e.g. the legal requirement to keep administrative records for a certain period of time, the legal obligation to share data for national security or law enforcement purposes, to prosecute and defend a court, arbitration, or similar legal proceeding;
  • Consent: where you gave us consent to process the data concerned, for example ‐ if applicable ‐ to share your personal data with our partners for commercial purposes.

You have the right to withdraw your consent at any time, by contacting the SDA at sda_web@space-data.org. We will discontinue the processing of your personal data upon receipt of your withdrawal. However, any processing performed prior to your withdrawal remains a legitimate processing based on a valid consent at the time. We will not be under the obligation to reverse the processing.

Keeping your personal data secure

We have procedures and security features in place to keep your personal data secure once we receive it. We also use industry standard cryptographic techniques to secure your personal data in transit to and from the SDA public website.

The more sensitive data transmitted, received, and stored within the SDC (including your personal data) has extensive security measures in place, including encryption for information in transit and at rest.

Our public website may from time to time contains links to other websites.

This privacy policy only applies to our public website and doesn’t cover other services and transactions that we link to. Other sites have their own terms, conditions, and privacy policies.

If you come to our public website from another website, we may receive information from the other website. We don’t use this data. You should read the privacy policy of the website you came from to find out more about this.

Changes to this Policy

We may change this privacy policy at any time and from time to time. The most recent version of the privacy policy is reflected by the version date located at the top of this privacy policy. All updates and amendments are effective immediately upon notice, which we may give by any means, including, but not limited to, by posting a revised version of this privacy policy or other notice on our web site. We encourage you to review this privacy policy often to stay informed of changes that may affect you. Our electronically or otherwise properly stored copies of this privacy policy are each deemed to be the true, complete, valid, authentic, and enforceable copy of the version of this privacy policy that was in effect on each respective date you visited the web site.
